Quick answer: On Balievents you cancel a booking from the Bookings tab of your host dashboard. A free booking is cancelled and its spot freed; a paid booking is refunded the ticket price the guest paid and cancelled. The guest is emailed either way. You, or a Manager on your team, can do this until 7 days after the event's last day, and a refund comes off your payouts.

When would a host cancel a booking?

  • A guest asks to come on another date, or cannot come at all.
  • A guest booked twice by mistake.
  • You have to cut capacity: the weather moved a beach night indoors, or the venue changed the room.
  • A guest was turned away at the door and should not be charged.
  • The night is called off.

How do I cancel or refund a booking?

  1. Open Bookings in your host dashboard and find the guest.
  2. Choose Cancel or Refund on their booking.
  3. Read the preview. Before anything happens, the dashboard shows what will happen: for a paid booking, the exact amount the guest gets back and the service fee that is not refunded.
  4. Confirm. It cannot be undone.

A free booking is cancelled at once and the spot goes back on sale. A paid booking is refunded and cancelled, and the guest is emailed.

If the payment for a booking is not finished yet, it cannot be cancelled until it is paid or has expired, so a guest is never charged for a booking that was already cancelled.

What does the guest get back?

The ticket price they paid, in full, after any discount. The 3% service fee is not refunded; the Balievents refund policy says the same to guests.

The refund goes back to how they paid. Cards and most e-wallets are refunded automatically through Xendit. A bank transfer, and some QRIS payments, cannot be refunded automatically; the booking shows "Refund by our team" and Balievents sends that refund by hand.

One booking is refunded once and in full. There are no partial refunds from the dashboard.

Who on my team can cancel bookings?

The host of the event and anyone on your team with the Manager role. Door Staff can check guests in but cannot cancel or refund. Add people under Team in your dashboard. More on roles at the door: event check-in and guest lists in Bali.

How long after the event can I refund?

Until 7 days after the event's last day. That covers a guest turned away at the door or a night that went wrong. After that, write to info@balievents.co with the guest's name.

How does a refund affect my payout?

  • Not yet paid out: the order is left out of your next payout run.
  • Already paid out: what you received for it is shown under Payments as You owe us and comes off your next payouts.

How the weekly payout is worked out: how event hosts get paid in Bali.

What if I have to cancel the whole event?

There is no single button that refunds a whole night. Do this:

  1. Unpublish the event from My events, so nobody else books. An event with paid bookings cannot be deleted; unpublishing hides it and keeps every booking and payment.
  2. Cancel or refund each booking from Bookings.
  3. Tell your guests why, and where to go next if you are moving the night.

Under the Balievents refund policy, every buyer of a cancelled event gets the full ticket price back. If there are many bookings, write to info@balievents.co and we will help.

What can guests do themselves?

A guest with a free booking can give back their spot from their ticket ("Cancel my spot"). A guest with a paid ticket who cancels at least 24 hours before the start gets the full ticket price back from Balievents; within 24 hours, tickets are not refunded. The guest's side is in Bali event tickets: refunds, cancellations and no-shows.

Frequently asked questions

How do I refund a ticket on Balievents?

Open Bookings in your host dashboard, choose Refund on the booking, check the amount in the preview and confirm. The guest gets the ticket price back and an email.

Is the service fee refunded?

No. The guest gets the ticket price they paid; the 3% service fee is not refunded.

Can my staff cancel bookings?

A team member with the Manager role can. Door Staff cannot.

How long do I have to refund a guest?

Until 7 days after the event's last day. After that, contact info@balievents.co.

Who pays for a refund?

It comes from the ticket value: a refunded order is left out of your payout, or comes off your next payout if it was already paid out.

Can I delete an event that has paid bookings?

No. Unpublish it instead, which hides it and keeps every booking and payment, then cancel or refund the bookings.
